Step-by-Step Instructions for Authors (Full, Short, Demo, and Workshop Papers)

Step 1: Complete Author Registration

Before preparing or submitting your final camera-ready paper, at least one author must register and pay in AUTHOR REGISTRATION using the appropriate registration category:

  • Symposium and Workshop Papers

    • Author – Symposium Papers (Symposium-Only Attendance) Registration (up to two (2) symposium papers (full, short, and demo papers))

    • Author – Symposium Papers + Workshop Papers (Workshop and Symposium Attendance) Registration (up to two (2) symposium (full, short, and demo) papers and two (2) workshop papers)

    • Author – Workshop Papers (Workshop-Only Attendance) Registration (up to two (2) workshop papers)

One (1) registration may be used to upload up to two (2) final (full, short, and demo) papers and/or two (2) workshop papers (depending on the registration you select), provided the registrant is an author or co-author on each paper.

 

Notice for SBC / IEEE / IEICE Members:

  • Registrants applying for member-discounted categories must upload valid proof of active membership via the registration system (ECOS) at the time of registration.
  • Send an email to the Chairs (wpmc2026-chair@edas.info) with the following details:
    • Registrant Name: [Full Name used during ECOS registration]
    • Registration Reference/Receipt Number: [ECOS registration confirmation code]
    • EDAS 10-digit Paper ID(s): [List 1 or 2 EDAS Paper IDs associated with this registration]
  • The registration team will review submitted membership credentials and verify paper authorship (up to two per registration) within one business day.
  • Payment processing will remain locked until membership verification is complete.
  • System notification emails will be sent at each step of the approval workflow.

Note: Final manuscripts (camera-ready) will not be accepted under any circumstances without a completed author registration.

Step 2: Submission of Your Camera-Ready Paper

Authors must prepare and submit the final camera-ready version of their paper by completing the following critical steps:

  • Revise the Manuscript: Prepare the final A4 page-sized camera-ready manuscript incorporating all reviewer feedback. Full papers are limited to 6 pages (with up to 1 additional page allowed for an extra fee), short papers MUST NOT exceed 4 pages (minimum of 3 pages), and demo papers are set to two (2) pages.

  • IEEE PDF eXpress Validation: Log in to IEEE PDF eXpress using conference ID 71082X. Convert or validate your manuscript to generate an IEEE-compliant PDF file.

  • Upload to EDAS: Log in to your EDAS account and upload the exact PDF file generated by IEEE PDF eXpress (without modifications) by clicking the arrow icon under the Final Manuscript column.

  • Submit Copyright Form: Complete and submit the electronic IEEE Copyright Form (eCF) directly through EDAS.

Important Notes for Step 2:

  • Pages must be A4 size (210 x 297 mm).

  • Formatting checks are strictly enforced during the final submission phase.

  • Authors are strongly advised to allow extra time to fix any formatting errors. 

  • Please use IEEE PDF Express to generate an Xplore-compliant PDF file, and then submit the IEEE eCopyright form.

  • Final papers are planned for inclusion in IEEE Xplore® for archival purposes.

  • IEEE reserves the right to exclude an accepted paper from IEEE Xplore® if it is not presented at the conference.

Step 3: Present the Paper at the Conference (No-Show Policy)

IEEE WPMC 2026 is an in-person conference. Per IEEE Policy, all accepted papers must be presented in person by an author of the paper.

Presentation by a non-author is permitted only with prior written approval from the Conference TPC Chairs. Information for requesting a substitute presenter will be posted soon.

Recognizing the economic impact of recent geopolitical events in the Middle East, the committee will evaluate requests for virtual presentations on an individual and rigorous basis.

  • A paper will be considered a no-show if:

    • It is not presented at the conference, or

    • It is presented virtually without prior written approval,

    • It is presented by a non-author without prior written approval.

Consequences of No-Show:

  • No-show papers will be removed from the final conference proceedings.

  • Such papers will not be published in IEEE Xplore®.

  • No refunds will be issued to authors of no-show papers.
